At Coping Corner, we are committed to transparency and client empowerment. The following policy outlines our procedures regarding insurance, appointment cancellations, and key information that clients should be aware of when engaging with our services.

What Clients Need To Know

  • All personal information and session content are treated with the utmost confidentiality, in accordance with provincial and federal privacy legislation. Exceptions may apply in cases where there is concern for your safety or the safety of others, or as required by law.

  • At your first appointment, you will receive information about the nature of psychological services, associated risks and benefits, and your rights as a client. Your consent is required to proceed with any assessment or treatment.

  • We strive to respond to all client inquiries within two business days. For urgent or crisis situations, please contact emergency services or a 24-hour crisis line.

  • Our clinic is committed to providing accessible services. Please notify us of any specific needs or accommodations required for your care.

  • We encourage clients to share feedback about their experience. Should you have any concerns about your care, please speak with your clinician or contact our clinic director.

Insurance and Payment

Insurance Coverage: Many extended health benefits plan in Canada offer coverage for psychological services provided by registered professionals. We recommend that clients contact their insurance provider in advance to confirm the extent of their coverage, including details on claim submission, eligible practitioners, and annual or sessional limits.

Direct Billing: Where possible, our clinic offers direct billing to some insurance providers. If direct billing is unavailable, clients are responsible for payment at the time of service and will receive an official receipt suitable for reimbursement.

Payment Methods: We accept payment via visa debit, credit card, e-transfer, and cash. All fees are due at the end of each session unless otherwise arranged.

Uninsured Services: Clients are responsible for any services not covered by insurance, including missed appointments and certain assessments or reports.

Cancellation and Missed Appointment Policy

Notice Requirement: We require a minimum of 24 hours' notice to cancel or reschedule an appointment. This allows us to offer the time to others in need.

Cancellation Fees: Appointments cancelled with less than 24 hours’ notice, or missed without notification, may be subject to a cancellation fee equivalent to the full session rate. Insurance providers typically do not cover missed appointment fees.

How to Cancel: Cancellations may be made by phone, email, or our secure online booking platform. Please ensure you receive confirmation of your cancellation.
